    Working on a Presentation with a Collaborator

    In order to work on a PowerPoint presentation with colleagues, you’re going to need to do the following as it applies to PowerPoint 2010, SharePoint Server 2010, and SharePoint Foundation 2010:

    • Open the stored presentation.

      You’ll see in the notification bar how many people are working on the document at a given time.
    • Go to the View tab.

      You’ll then be able to see the Presentation Views group where you’ll click Normal to keep it in Normal view.
    • Look for the Slides tab.

      It should be in the lower-right corner of the thumbnail of the slide. You can see what changes are being made as well as the co-author that made the changes.

    You can then proceed to read their comments, add your own or delete them. The following sections will tell you how to do each with ease. That way, you won’t leave the comments present when you deliver your presentation to a crowd.

    To Add a Comment

    In order to direct a comment at a colleague and add it to the PowerPoint presentation, you’re going to need to have the program open. Once it is, go to Review then New Comment. You can also access this function by selecting New with the Comments pane open.

    While in the Comments pane, type your message in the provided box before hitting enter. A speech bubble comment icon will appear on the slide. This alerts other people to the message that you’ve written so they can review and address it.

    To View and Reply to Posted Comments

    To see comments that other collaborators have left for you, you’ll need to look for the speech bubble comment icon on the slide you’re on. Once you’ve clicked on the icon, you’ll see the Comments pane open. You’ll then be able to read what others have written.

    To reply to the comment, you’ll need to choose Reply. You can then go forward and backward on the slides to view and reply to comments. This step saves you time and effort.

    Delete a Comment

    Once a comment has been addressed, there is no need to leave it on the slide. To remove it, all you have to do is enter the Comments pane and select the comment that you want to get rid of. You’ll need to select the black X to remove it entirely.

    If you’re on the slide itself, right-click on the speech bubble comments icon on the comment that you want to delete. You’ll then be given the option to Delete Comment. You’ll see that it has been removed once you’ve done the task successfully.
