Five Ways to Make Your Folders Stand Out in MS Office

Organization is key to managing your personal, professional, and academic lives successfully. If you’re not organized, it can lead to unnecessary stress in the way of lost files, missed deadlines, and misunderstood communications. In order to keep havoc away, you need to come up with a system that makes storing files on your computer and the Cloud easier.

Stay on Top of Your Responsibilities Like a True Professional

This will prevent things from being lost in the shuffle, and you losing out on opportunities because you couldn’t get something turned in on time or failed to deliver what someone else asked of you. You’ll keep on top of your responsibilities like a professional because you’ll know exactly where you stored a file on your computer.

Make Your Folders Memorable by Doing This

Here are five ways to make your folders stand out in MS Office:

    1. In Outlook, create a reference folder and name it 1-Reference.

By placing the 1- in front of it, it will be the first item under the word inbox. You can collapse the Inbox and make it so you don’t have to view it if you want.
    2. Create 2-Personal and 3-Management folders to keep private, personal messages and one to keep feedback about employees in another.

This prevents emails from being in places it doesn’t need to be. It also makes personal communication semi-private from passersby who may have nothing better to do with their time.
    3. Add Subfolders for anything that would go inside a main folder but still needs to remain separate.

For example, you may want to create a main folder for class emails. You’ll create one folder for each class that you take. Then, you’ll want to create subfolders to separate correspondence from your professors and classmates. You’ll do this by creating two additional subfolders to make it even easier to find what you’re looking for later on. To add correspondence, you’ll drag the email into the folder and subfolder of your choice.

    1. Give your files specific folders to go to.

It doesn’t matter if it’s a Word document or a PowerPoint presentation. The important thing to remember is to name the file something you’ll remember later and place it in the right folder for easy access. Your folders should be clearly named and placed in alphabetical order on your hard drive or Cloud service. If it helps to create a reference list for which folder holds which file, do so. It takes a few minutes initially but saves you a lot of time in the long run.
    2. Place them in a pattern on your desktop.

Rather than line your folders up in a square pattern, try a different geometric shape. A diamond may catch your eye faster than a square. Make sure that you put your most important folder at the top and the least important folder at the bottom of the shape. This will make it easier to reference when it comes time to retrieve a file and access its content.
